Job Description

To work with the School Leaders and Head of Department, Singapore (Cambodia) International Academy Co., Ltd. (SCIA). Student Affairs Officer plays a pivotal role in shaping a supportive and inclusive school environment that promotes the personal and academic development of all students. This position reports directly to the Principal of the K12 School and is crucial in leading initiatives that enhance student schooling and parent experiences.

Job purpose

The Coordinator will assume supervisory responsibilities within the team to ensure excellent services and effective communication concerning student matters. The incumbent and the team must consistently demonstrate a professional and courteous demeanor when representing SCIA.

MAJOR DUTIES & RESPONSIBILITIES

Specific (90%)

  • Gain a comprehensive understanding of the administrative functions within the K12 School, spanning both academic and corporate divisions.
  • Oversee the provision of administrative services to ensure effective support to students and adherence to governance and compliance standards.
  • Ensure the implementation and monitoring of all school policies relevant to the Student Affairs team.
  • Manage the school information systems to efficiently track student data.
  • Create, update, and maintain accurate student records, documentation, and results.
  • Maintain precise records of student attendance and follow up on absences as necessary.
  • Assist and update the school events schedule to ensure all stakeholders are informed of upcoming activities and logistical arrangements.
  • Communicate regularly with parents via letters, Telegram, WeChat, and the Engage portal, providing updates on their children’s progress, upcoming events, and any significant changes to the curriculum or school policies.
  • Manage the registration for student lunch programmes.
  • Prepare or review documentation produced by the Student Affairs team, including reports, lists, and rosters, for both internal and external purposes.
  • Monitor the efficiency and effectiveness of administrative processes and suggest improvements.
  • Collaborate closely with the Enrichment, Admissions, and parent engagement teams to synchronize efforts and enhance the overall student and parent experience.
  • Support the Principal in handling and resolving student and/or parent complaints to achieve successful outcomes.
  • Maintain strong relationships with the students, parents and staff, fostering a supportive community.
  • Ensure timely dissemination of information across all communication channels.

General (10%)

  • Organise and manage Parent-Teacher Meetings (PTMs), including registration, coordination, and allocation of timeslots.
  • Produce the annual school calendars.
  • Perform other functions as necessary or assigned by the Principal.
  • Assist Principal in any projects or tasks in relation to company goals and objectives.
  • Participate in management meetings and school-wide events.

job requirement

 

  • Proficiency in English and Chinese (Spoken and written)
  • A degree in business administration, Marketing or related field is preferred.
  • Experience in School administration, customer service or a similar role.
  • Good interpersonal, communication and customer service skills.
  • Proficiency in Microsoft office and CRM software.
  • Ability to work independently and with cross functional teams.
